The good candidates are gone before you get to the second page of applications

Speed decides most hires below a certain salary. The applicant who is contacted within the hour takes the job; the one contacted on Thursday has already accepted somewhere else.

The bottleneck is never the decision. It is the first conversation — the ten minutes establishing whether they can work the shifts, whether they have the licence, whether they have the right to work, and whether they still want it. Two hundred applications is thirty-odd hours of that, so it does not happen, and the pile is worked from the top until somebody says yes.

Every applicant gets that conversation instead, within minutes of applying, at whatever hour they applied. The same questions in the same order, the answers written down against the candidate, and the ones who qualify booked straight into an interview slot.

What a first-round screen needs to be worth having

Speed

Called back within the hour, not the week

Triggered by the application itself. For shift and trade roles this single change moves acceptance rates more than anything else you can do.

Consistency

The same questions, in the same order

Every candidate is asked exactly what every other candidate was asked. That is better practice than a rushed human screen and it is also far easier to defend.

Knock-outs

The requirements that are not negotiable

Shift availability, licence, right to work, distance, certification. Checked first, so nobody spends an interview slot discovering a hard no.

Written down

Answers on the record, not in a memory

A structured summary per candidate, comparable side by side, rather than a recruiter recalling four conversations from Tuesday afternoon.

Booking

Straight into the interviewer’s diary

Qualified candidates take a real slot on the same call. The gap between screening and interview is where most of the drop-out happens.

Any hour

People apply for jobs at eleven at night

Particularly people currently working. The screen happens when they are free rather than when your office is open.

Language

Screened in the one they are fluent in

For a lot of roles, English fluency is not actually a requirement of the job. Screening in it filters for the wrong thing.

The ones you said no to

Told, rather than left waiting

Everybody gets an answer. It costs nothing here and it is most of the difference between a talent pool and a bad review.

This screens, it does not select. It records answers against your stated requirements and hands you the shortlist — the hiring decision stays with a person, and you should be able to show that it did.

In practice

Where the hours actually go

Two hundred applications for six shifts

Webhook · your ATS or form

All two hundred screened rather than the first thirty. The candidate who applied at number 180 gets the same conversation as the one who applied first.

“Just a few quick questions — are you able to do weekend shifts, and do you drive?”

The candidate who applied at midnight

Out of hours · immediate

Currently in work, looking on their phone in bed. Contacted then rather than in three days, by which time they have applied to five other places.

Interview no-shows

Reminders · voice and message

Confirmed the day before with an easy way to move it. Rescheduling is far better than an empty slot and an unexplained absence.

A rejection nobody sent

Outcome · every candidate

The unanswered application is the single most common complaint about recruiters. Answering all of them is a two-line policy here rather than a day of admin.

The objections
Is it making a hiring decision about people?

No, and it is worth being precise about that. It asks your questions, records the answers and flags which stated requirements were and were not met. A human decides who progresses, and the record shows what the decision was based on.

Do candidates know it is not a person?

Yes. It identifies itself at the start of the call. Candidates who would rather speak to a person can say so and be put through — and for a first-round screen, most would rather have it tonight than wait for a human on Thursday.

Can it work from our applicant tracking system?

It can be triggered by a new application and write the outcome back where your connectors reach. Where they do not, it runs from a list or a form and exports.
